Change your VAT number

Update your VAT number in Settings. Check the format rules, and run a VIES check before you contact support if the system doesn't accept it.

Your VAT number is a self-service field on Everspring — you change it yourself in Settings, and the change is effective immediately.

Where to change it

  1. Log in to Everspring.

  2. Open Settings → Company details.

  3. Edit the VAT number field.

  4. Click Save.

The new VAT number appears on every invoice and order from that moment onward. Invoices that were already issued keep their original VAT number.

Format rules

Your VAT number must be a valid EU VAT ID:

  • Country prefix first. NL, DE, BE, FR, IT — match the country your business is registered in.

  • Uppercase letters for the prefix.

  • No spaces, dots, or hyphens.

  • Digits after the prefix — the exact length depends on the country (NL: 9 digits + B + 2 digits; DE: 9 digits; BE: 10 digits).

Examples of correctly formatted numbers:

  • NL123456789B01

  • DE123456789

  • BE0123456789

VAT number not accepted? Run a VIES check first — always.

Everspring validates every VAT number live against VIES, the European Commission's official VAT database. If VIES says your number is invalid or inactive, Everspring cannot accept it — and neither we nor our support team can override that.

Before you contact us, check your number on VIES yourself. This is not optional — support will ask you to do it anyway.

VIES check: ec.europa.eu/taxation_customs/vies

Enter your country and number exactly as you typed them on Everspring. If VIES returns "invalid", fix the root cause at your tax authority before you try again. Most rejections come down to one of these:

  • Typo or wrong prefix. Your number doesn't match the country you're registered in.

  • Recently registered. VIES can take up to 24 hours to sync with your local tax authority — wait and try again.

  • Deregistered or suspended. Contact your tax authority (in the Netherlands: Belastingdienst) to confirm your VAT registration is still active.

  • Extra characters. Remove spaces, dots, and hyphens before saving.

If VIES returns "valid" but Everspring still rejects the number, that's on us — then contact support.

  • Historical invoices keep the VAT number that was active at the time they were issued.

  • Your VAT number syncs to your connected webshop (Shopify / WooCommerce) so your checkout matches Everspring.
